Job Description
Dispatcher/Office Personnel

Description

A Dispatcher is on the front-lines; coordinating, directing and juggling to ensure on-time performance and great customer service. This is anything but a nice, quiet, boring desk job! If you like to be busy, if you’re not afraid to prioritize & make decisions, this could be a career to consider. Dispatchers know how to get things done, are great problem solvers with a true customer service orientation, and are the glue that holds everything together. They are great team players and love to see a job well done.

Reporting Relationships

· Reports to Service Manager
· May include some supervisory responsibilities

Hours & Working Conditions

· Average 40 hours per week (typically 8:00 a.m. to 5:00 p.m. weekdays)
· Occasional overtime as needed
· Ability to lift 50lbs

Duties and Responsibilities

· Provide phone support for customer service
· Take service calls from customers
· Act as focal point for incoming phone inquiries regarding information on account status
· Schedule and confirm appointments
· Schedule and dispatch multiple service technicians
· Manage and update the service calendar software
· Review and process billing on all service appointments
· Communicate with field personal regarding status of service appointment
· Assist field personal when needed with directions or other information as needed to complete their service call for the customer
· Daily filing
· Managing and auditing weekly timesheets turned in by technicians
· Provide customers with information and pricing on service agreements, accessories, and other comfort improvements
· Occasional warehouse duty (receiving parts shipments, moving parts, etc.).
· Other duties as needed

Job Requirements

· Ability to manage multiple phone lines
· Geographical knowledge of Ocala, Gainesville and the North Central Florida territory
· PC Knowledge (Word, Excel, Microsoft Office)
· Maintain concise and accurate records
· Team oriented personality
· Punctuality and Reliability
· The ability to Multi-Task and manage time efficiently
· Attention to details and accuracy
· Pleasant and professional telephone manners
· Strong oral communication skills
· Ability to work flexible schedules as required
· Must be able to pass drug test and background check
· Must be able to effectively prioritize tasks and manage numerous activities
